Withdrawal and Retraction of Manuscript Policy

1. Withdrawal of Manuscript

1.1. Withdrawal Before Review

Authors may request withdrawal of their manuscript before the peer-review process begins by submitting a formal written request via email to the editorial office.
The withdrawal request must include:

  • The title of the manuscript and Manuscript ID.

  • A clear reason for requesting the withdrawal.
    - No sanctions or penalties will be applied if the withdrawal request is submitted at this stage.


1.2. Withdrawal During or After Review

Manuscript withdrawal is not permitted during the peer-review or production process unless there are strong and valid reasons that are approved by the Editorial Board.
If an author insists on withdrawing the manuscript during the review, revision, or proofing stage, the author must:

  • Submit a formal written request stating the reasons for withdrawal.

  • Obtain written approval from the Editor-in-Chief.
    ✔ Unauthorized withdrawal at this stage will result in:
         - A submission ban for the author(s) to Az-Zarqa’ Journal for at least two (2) years.
         - An administrative penalty fee, the amount of which will be determined and officially communicated by the Editorial Board, to compensate for the editorial and peer-review process that has already been conducted.


1.3. Withdrawal Without Permission

If authors withdraw the manuscript without notifying or obtaining permission from the editorial office after the peer-review process or after acceptance, the following actions will be taken:

  • The author(s) will be blacklisted from future submissions to Az-Zarqa’ Journal.

  • The affiliated institution(s) of the author(s) will be officially informed of this breach of publication ethics.

  • The author(s) will be subject to the maximum administrative penalty fee, as determined by the Editorial Board.


2. Retraction of Published Manuscript

Retraction of a published article will be carried out in accordance with the COPE Retraction Guidelines if there is clear evidence of:
Plagiarism, data fabrication, falsification, or other unethical research practices.
Duplicate or redundant publication, where the same article has been published elsewhere without proper acknowledgment or permission.
Significant errors or inaccuracies that invalidate the study’s findings and cannot be corrected through a formal correction (erratum).
Ethical violations, including undisclosed conflicts of interest or unethical use of data.


2.1. Retraction Process

The editorial board will conduct a thorough investigation to verify the reported issue, involving reviewers, authors, and the editorial team as necessary.
If retraction is approved:

  • A formal retraction notice will be published on the journal’s website and linked to the original article.

  • The PDF version of the article will remain accessible but will be clearly marked with the word “RETRACTED” on every page.

  • The reasons for retraction will be explained transparently in the retraction notice.


2.2. Content of Retraction Notice

The retraction notice will include:

  • The title and names of the authors of the retracted article.

  • The reason(s) for retraction, such as plagiarism, duplicate publication, or serious methodological errors.

  • A formal statement signed by the Editor-in-Chief.


3. Corrections (Erratum or Corrigendum)

If minor errors are found that do not affect the validity of the research findings, the journal will issue a correction notice (erratum or corrigendum) instead of a full retraction.
The correction will clearly describe the changes made and will be linked to the original article for transparency.


4. Author Responsibilities

Authors must fully cooperate with the editorial board during any investigation of suspected ethical violations.
Authors must respond promptly to editorial inquiries and provide supporting documents or evidence when required.
